Job Description

Our client, a leading real estate investment company, is Office/Facilities Coordinator to support our Palo Alto office. This role offers a unique opportunity to contribute to the operational excellence of the workplace on a temporary basis. You will oversee facility maintenance, vendor coordination, and day-to-day operational support. This role will also manage corporate housing operations, assist with office events, and provide backup front desk coverage when needed.

**Please note this is an on-site, 12-month contract role based in Palo Alto, CA. Pay will be $33.65-$36.05/hr.**

Key Responsibilities:

  • Coordinate and schedule maintenance and repairs (HVAC, janitorial, landscaping, security systems, etc.).
  • Manage building maintenance projects and vendor relationships.
  • Maintain and update emergency procedures and distribute information to staff.
  • Ensure common areas, storage rooms, and conference rooms are well-maintained.
  • Coordinate phone system upgrades and keycard/office key management.
  • Support onboarding by setting up new employee workstations.
  • Conduct initial ergonomic assessments as needed.
  • Provide occasional front desk coverage.
  • Address tenant issues in a timely manner and maintain issue logs.
  • Oversee reservations, billing, and vendor services (housekeeping, repairs, supplies, etc.).
  • Maintain inventories, budgets, and repair logs for corporate housing.
  • Approve facility and corporate housing invoices.
  • Resolve billing discrepancies with vendors.
  • Prepare annual budgets for facilities, reception, events, and corporate housing.
  • Plan and manage annual office events while adhering to budgetary guidelines.
  • Support special projects and additional responsibilities as assigned.

Qualifications

  • Bachelor’s degree required.
  • Minimum of 2 years of experience in a corporate environment.
  • Strong organizational skills with proven ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel).
  • Strong problem-solving abilities and customer-service mindset.
  • Ability to work independently with attention to detail.
