🤝 Your responsibilities

Recruitment Support:

  • Maintaining candidate records and keeping them up to date.
  • Support the recruiter with any demands.
  • Collaborate with hiring managers to ensure a smooth onboarding process.

Payroll and Benefits Administration:

  • Full understanding of the payroll life cycle as well as ADP TotalSource system.
  • Understanding of the benefits provided by the process (Insurances/401k/FMLA)
  • Responsible for inputting all new hires and terminations into the payroll system
  • Payroll processing, such as absences, bonuses, leaves, allowances, and event time procedures.
  • Responsible for providing all payroll data to the third-party finance provider
  • Liaise with our payroll provider and finance (e.g., ADP) to ensure accurate and timely payroll execution.
  • Support employees with payroll and benefits related inquiries.

Relocation Assistance:

  • Support relocation process from the welcoming, logistics, including housing, transportation, and documentation.
  • Booking accommodation if needed with our partners (e.g., Blueground)

Onboarding and Offboarding:

  • Assist in onboarding new employees, ensuring a seamless transition into the organization.
  • Handle paperwork, orientation sessions, and necessary training.
  • Process exit paperwork for departing employees.

Employee Records Management:

  • Maintain both hard and soft copies of employee records.
  • Update personnel files with relevant information.
  • Responsible for maintaining and updating all company/employee records.

Office Support:

  • Provide clerical and administrative assistance to the staff.
  • Support all HR-related projects, meetings, and surveys.
  • Support all the needs to be established and the set-up of the office if requested.

Policy and Document Creation:

  • Collaborate in creating and updating HR policies, processes, and documents.
  • Ensure compliance with legal and organizational requirements.

Specific Task:

  • Event time
  • Manage all communication (send, receive, and respond) with consultants (DH) regarding their events.
  • Act as the point of contact for HR-related questions from employees and consultants.
  • Keep all event time consultants and employee’s data up to date (compensation days, Per diem, Invoices, Payments)
  • Document any HR-related issues (e.g., disputes, compliance gaps) for continuous improvement.
  • Flexible schedule availability during event time.

MUST HAVE prior experience in HR , preferably within our industry.

  • Bachelor’s degree in human resources or related field.
  • Experience with other global companies is highly valued.
  • Proficiency in HR software and Microsoft 365 tools (e.g., ADP/TotalSource, Excel).
  • Strong organizational skills and passionate to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to work proactively and remain effective under pressure in fast-paced, dynamic environments.
