Position Summary:

Under the direction of the Senior Manager of Grants Accounting, the Grants Accountant ensures the accurate financial management and reporting of grants, contracts, and restricted funds. This role is responsible for maintaining compliance with grant and donor requirements, tracking expenditures, and collaborating with program and finance staff to monitor financial activity. The Grants Accountant plays a critical role in supporting the organization’s mission by ensuring proper stewardship of grant funding.

Essential Functions:

Grant Accounting and Compliance

  • Maintain accurate records of all grants, contracts, and restricted funds in compliance with nonprofit accounting standards (GAAP)
  • Track grant-related expenditures to ensure they are allowable, allocable, and properly documented by funder guidelines.
  • Reviews and approvals Purchase Orders.
  • Monitor grant budgets and ensure expenses align with approved budgets and funding agreements.
  • Assist in the development of grant budgets for proposals, including budget narratives.

Grant Reporting

  • Prepare and submit financial reports to grantors in compliance with deadlines and funder requirements.
  • Reconcile grant-related accounts regularly and ensure accurate reporting of restricted and unrestricted funds.
  • Provide financial data and support for program managers and development staff during grant reporting periods.

Audit and Monitoring

  • Assist with preparation for audits, including compiling supporting documentation for grant expenditures.
  • Respond to grantor inquiries and requests during monitoring visits or desk reviews.
  • Ensure accurate and timely close-out of grants, including reconciliations and final reporting.

Internal Collaboration and Communication

  • Partner with Grants team, program team and the development team to provide training and guidance on grant compliance and budget management as appropriate.
  • Regularly update program staff on grant expenditure status and remaining balances.
  • Collaborate with the finance team to ensure consistent tracking of grant-related transactions.

Policies and Procedures

  • Ensure compliance with all applicable regulations, including federal, state, and local grant guidelines (e.g., Uniform Guidance for federal awards).
  • Assist in the development and implementation of internal policies and procedures related to grant management and reporting.
  • Stay updated on changes in nonprofit grant regulations and communicate their impact to the team

Other Duties

  • Perform reconciliations of grant and fund accounts as part of month-end and year-end close processes.
  • Support cash flow management by monitoring grant reimbursements and reporting deadlines.
  • Assist with other accounting or financial projects as assigned.

Work Environment: The noise level of the work environment can range from low to moderate.

Work Schedule:

  • Non-Remote Position
  • Full-time: Monday through Friday, 9:00 AM to 5:00 PM
  • Ability to work a flexible work schedule (i.e., Evenings, weekends, holidays, and on-call), as needed.

  • Education : Bachelor’s degree in accounting, Finance, or a related field.
  • Language : Proficiency in oral/written English; Spanish preferred; additional languages a plus (i.e., Creole).
  • Skills : Proficiency in computer (Word, Excel, other data collecting programs).
  • Minimum of 5 years of accounting experience, preferably in a nonprofit organization.
  • Experience with grants management and reporting; knowledge of federal grant regulations (e.g., OMB Uniform Guidance) is a plus.
  • Proficiency in accounting software (e.g., Sage MIP, Sage Intacct, QuickBooks, Blackbaud) and Microsoft Excel.
  • Successful completion of Toxicology test, L2 and local background screening, and OIG.
  • Valid FL Driver License with clean driving record.

  • Ability to analyze and interpret financial data, identify discrepancies, and resolve issues.

  • Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
  • Culturally sensitive to the social, psychological, and healthcare needs of the vulnerable populations serviced.
  • Demonstrates a high level of productivity while remaining calm and effective under pressure.
  • A self-starter with demonstrated ability to work independently, as well as, with multidisciplinary teams and co-workers.
  • Ability to maintain a high level of poise and professionalism in all circumstances.
