Lighthouse Management Group is an executive real estate project support firm that provides specialized support for unique, innovative, and complex real estate projects.

Role Description

This is a full-time, hybrid role based in Miami, FL for an Executive Administrative Assistant to support a small team of executives and provide project management support across multiple real estate development projects. The successful candidate will bring strong administrative skills, attention to detail and experience establishing new processes. This role is a great opportunity for a candidate looking for a dynamic role with significant project work.

Responsibilities

  • Coordinate calendars, travel and expenses for a small team of project executives
  • Establish new processes and organizational systems for a small, distributed team
  • Act as Project Coordinator, ensuring appropriate documentation and visibility across multiple project workstreams
  • Support onboarding/ off-boarding of contractors and vendor partners
  • Manage client and partner file transfer portal
  • Complete ad hoc tasks as requested, including event planning and light social media management

Qualifications

  • 3-5 years of administrative experience, preferably in a fast-paced role
  • Laid-back, personable attitude paired with a type-A, detail-oriented work ethic
  • Strong communication skills, discretion and ability to build trust quickly
  • Comfortable establishing new processes and systems, maintaining documentation, and tracking progress across multiple workstreams
  • Proficient with common office software (e.g. Microsoft Office Suite, Google Workspace)
  • Bachelor’s degree or equivalent required
